Privacy Policy
Effective date: 2026-08-12
Vilm (Privacy Officer: Hyunwoo Park, "Vilm") establishes and discloses this privacy policy in accordance with Article 30 of the Personal Information Protection Act of Korea, to protect the personal information of data subjects and to handle related concerns promptly.
This policy applies to the Vilm Care software distributed by Vilm (the "Software") and to the software-related services of the voiceandfilm.com website. It does not apply to Vilm's other services such as recording or studio rental.
Article 1. Basic Policy
The Software is currently provided free of charge and does not require an account. We do not collect your name, email address, or phone number for its use. Vilm does not sell collected information and does not provide it to third parties for marketing purposes. We do not collect sensitive information or government-issued identification numbers.
Article 2. Purposes of Processing
Vilm processes personal information for the following purposes only. If a purpose changes, we will take required measures such as obtaining separate consent under Article 18 of the Act.
- Providing Software features: issuing the free registration and verifying its binding to one computer, and checking for updates
- Responding to inquiries: receiving and answering messages sent through the in-app Mailbox
- Service improvement: compiling and analyzing anonymous usage statistics
- Abuse prevention: blocking fraudulent use and excessive requests
- Product news: only when explicitly requested
Article 3. Information We Process
Free registration. Some features require a one-time free registration. To bind the registration to one computer, a hardware-derived identifier is recorded together with the license key. The original hardware information is not transmitted.
Usage statistics (optional). The Software collects anonymous statistics: a randomly generated device number, together with the software version, Windows version, and rough usage information. Computer names, Windows account names, and MAC addresses are not collected. Collection can be disabled in the Software's settings.
In-app Mailbox. When you send a message through the Mailbox, the message, attachments, device number, and basic environment information are stored. The connecting IP address is also recorded to prevent abuse.
Website and downloads (automatic). When you visit the website or download files, the IP address, browser information, approximate location (country, city), and access logs are collected automatically.
Product news (optional). If you subscribe to product news, your email address and subscription details are stored. This happens only with your explicit consent.
Diagnostic reports. The Software can generate activity records as a support file. The file is transmitted only when you choose to send it.
Information that stays on your computer. Some features store records needed for their operation only on your computer and do not transmit them to our servers.
Article 4. Retention Periods
| Processing | Retention |
|---|---|
| Free registration data | Until deregistration or a deletion request |
| Usage statistics | 7 days from collection (only aggregate statistics without individual identifiers are kept afterwards) |
| Mailbox messages and attachments | As needed for handling inquiries and support history; deleted upon request |
| Website access and download logs | As needed for statistics and abuse prevention; deleted upon request |
| Product news subscription | Until you unsubscribe |
Deleting a Mailbox conversation in the Software does not delete the support records on the server; deletion can be requested through the contact in Article 8.
Article 5. Provision to Third Parties
Vilm processes personal information only within the scope stated in Article 2, and provides it to third parties only where permitted by law, such as with the data subject's consent or under specific legal provisions (Articles 17 and 18 of the Act). There is currently no third-party provision.
Article 6. Outsourcing and Cross-Border Transfer
Vilm outsources the following processing for service operation.
| Processor | Task | Country | Period |
|---|---|---|---|
| Cloudflare, Inc. | Server hosting, database, file storage, network delivery | United States and other Cloudflare infrastructure locations | Until the outsourcing contract ends |
Under this arrangement, the server-stored information in Article 3 is transferred to and stored on the overseas infrastructure of Cloudflare, Inc. ([email protected]) over the network whenever the services are used. The purposes and retention follow the table above. You may refuse this transfer, but features that require a server (free registration, Mailbox, usage statistics) will then be unavailable. Usage statistics can be disabled in settings, and the Mailbox is optional.
Article 7. Destruction of Personal Information
When personal information becomes unnecessary due to the expiry of the retention period or the fulfillment of its purpose, Vilm destroys it without delay. Electronic files are permanently deleted in a non-recoverable manner. Information that must be kept under applicable law is stored separately.
Article 8. Rights of Data Subjects and How to Exercise Them
You may at any time request access, correction, deletion, or suspension of processing of your personal information, and Vilm will act without delay. For children under 14, a legal guardian may exercise these rights.
- In-app Mailbox: requests sent from the Software can be matched to the relevant records without any additional information.
- Email: [email protected]
- Phone: +82-502-1925-3073
You may have additional rights under the laws of your region.
Article 9. Automatic Collection Tools (Cookies)
The Software does not use cookies. The website does not use advertising cookies or third-party analytics tools, and may use only the minimum cookies needed for operation. You can refuse cookies in your browser settings (for example, Chrome Settings > Privacy and security > Cookies).
Article 10. Security Measures
Vilm takes the following measures to secure personal information: administratively, minimizing the number of people handling personal information; technically, encrypting data in transit (TLS) and controlling access to storage and databases; and operating the services on the security framework of certified cloud infrastructure.
